Protecting Your Data:

A Guide for Speed School Staff and Faculty

In today’s digital age, the importance of safeguarding your data cannot be overstated. As members of our esteemed academic community, your research, teaching materials, and administrative documents are invaluable assets that must be protected against potential loss or damage. This webpage serves as a comprehensive guide to the university’s data backup policy, outlining the necessity of data backup and the resources provided by the IT department to facilitate this process.

University Data Backup Policy:

The University recognizes the critical importance of data backup for all staff and faculty members. As outlined in ISO-015, it is mandatory for all personnel to regularly backup their data to ensure its integrity and availability. This policy is not only a best practice but also a requirement to uphold the standards of data security and confidentiality expected within our institution.

Importance of Data Backup:

Mitigation of Data Loss: Accidental deletion, hardware failures, cyberattacks, and natural disasters are just a few of the potential threats to your data. Regular backups provide a safety net against these unforeseen events, minimizing the risk of permanent data loss.

Continuity of Operations: In the event of a data loss incident, having recent backups readily available ensures minimal disruption to your work. Whether it’s a research project, lecture materials, or administrative records, timely access to backed-up data allows you to resume your responsibilities without delay.

Protection of Intellectual Property: Your research findings, scholarly publications, and other intellectual endeavors represent the culmination of your hard work and dedication. By backing up your data, you protect these valuable assets from being compromised or lost, preserving the fruits of your academic labor.

IT Department Resources:

The University Information Technology Services (ITS) Department offers a range of resources and services to support staff and faculty in implementing effective data backup strategies. These include:

I Drive:  ITS manages a file server within their datacenter that can be used to store and archive files. We refer to it’s file share as the I drive. Access to existing I drive folders can be requested through Speed Technology Solutions. You may also send your request to create space for new I drive folders to us, however ITS would prefer that departments use OneDrive or CardBox. Visit the ITS Data Storage page for more information.

OneDrive: As part of our Microsoft Office 365 subscription, all university staff and faculty members have access to OneDrive, a cloud-based storage solution. OneDrive allows you to securely store, sync, and share your files across multiple devices, ensuring that your data is accessible from anywhere with an internet connection. Visit the ITS Data Storage page for more information.

CardBox: In addition to OneDrive, the university provides access to CardBox, another cloud storage platform renowned for its security and collaboration features. With CardBox, you can store, manage, and collaborate on your files with colleagues both within and outside the university community, facilitating seamless teamwork and document sharing. CardBox space can be created for both individual users or departments. Visit the ITS Data Storage page for more information.

IT Support Services: Speed Technology Solutions offers technical support and guidance to assist you in setting up and managing your data backups. Whether you have questions about configuring backup settings or need help recovering lost data, our team is here to provide assistance and ensure that your data remains protected at all times.

In Summary:

Backing up your data is not merely a precautionary measure but a fundamental aspect of responsible data management. By adhering to the university’s data backup policy and utilizing the resources provided by the IT department, you can safeguard your valuable data against loss, ensuring the continuity of your academic pursuits and administrative duties. Remember: protect your data today to secure your future tomorrow.
